CLIENT POLICIES AND PROCEDURES

Confidentiality:

The writings, notes, reports, conversations, research, and confidential materials which are prepared by Firm will be maintained in strict confidence and are protected by attorney-client privilege. 

From time to time we may utilize or consult with other attorneys, vendors, and service providers (“Service Providers”) to assist on legal matters. These Service Providers are hired by Firm and will be paid and supervised by Firm on Client’s behalf. All Service Providers are bound and obligated to the same duty of confidentiality to Client as Firm. 

All Firm Attorneys, Staff, and Service Providers are held to the same confidentiality requirements.

Internet and Email Access:

All clients are required to have Internet access and a valid email address at all times during the course of representation. Each client agrees to check his or her email no less often than every 48 hours during the course of representation. All clients must ensure Firm emails do not go to spam or junk. If clients do not keep their contact information updated, Firm bears no liability for any lapse in rights or legal consequences due to unsuccessful contact attempts .

Phone Number/Email/Address Changes:

All clients must notify Firm of any change in phone number, email, or mailing address, or physical address within 48 hours in writing via email to lawyer@analaw.com

By Appointment Only:

Ana Juneja is a practicing attorney with a high-volume practice and typically has 200 or more ongoing matters at any given time. She has a busy schedule with court hearings, trials, depositions, mediations, continuing education classes, conferences, and scheduled appointments. When she does not, she must set aside time to work on your case and other cases. Sometimes, she has discovery and other deadlines that must be met.  

Therefore, all meetings must be scheduled in advance. Do not show up to the office unannounced. Ana Juneja is often not in, and even if she is, you may not be allowed to  speak with her. The only way to schedule an in-person appointment is online at calendly.com/analaw/ana-private-dc. Ana Juneja and the staff at Ana Law will not schedule your appointment for you. 

Phone Calls:

All phone conversations must be scheduled in advance. The only way to schedule a phone conversation is online at calendly.com/analaw/ana-private-client-20. Ana Juneja and the staff at Ana Law will not schedule your appointment for you. 

20 minutes will be reserved for you to ensure there is adequate time to address your questions or  concerns. Ana Juneja will not generally schedule a phone appointment for you, unless she  requests it. If Ana Juneja is the one requesting the phone appointment, she will generally email you to set up a time.  

Most questions can be answered via email. Please send an email to lawyer@analaw.com if you have a question. If a phone call is required to answer your question, Ana Juneja will state this in a response to your email and schedule a time to speak with you. 

Recordings:

Communications between Ana Juneja and clients, including, but not limited to, phone calls and zoom meetings, may be recorded. These records will be temporarily stored securely and confidentially for internal firm purposes.

Emails:

Except during designated vacation periods, Ana Juneja will make every effort to  return your email by the end of the next business day. In some cases, emails may be returned in  the evening of the same or next business day.  

Text Messages:

Text messages from clients will be deleted. Please use email instead. 

Excessive Communication:

Ana Juneja welcomes an open and honest relationship with all clients and community members. Therefore, we do not generally charge clients to respond to email questions, or for each and every communication, or to discuss new potential matters. However, if communications become unreasonable and excessive, Ana Juneja reserves the right to not respond, except as required for substantive actions on legal matters.

Status Updates:

Firm will provide an estimated timeline of matters, including turn-around-time of drafting, timeline of filings at the USPTO, and will notify you of any substantive correspondence or actions (e.g. Office Actions and Notices of Allowance) when they are received. Clients can can check the status of their matters at any time in their client portal at analaw.com/portal. Unless there is a substantive update to give, Firm may not respond to requests for status updates right away. 

Vacation Periods:

All clients with active deadlines will be notified when Ana Juneja is designating a period for vacation at least seven (7) days in advance. Calls and emails may not be returned during these designated vacation periods, except in extremely unusual emergency circumstances. Whether a situation qualifies as such will be within Ana Juneja’s sole discretion.  

Emergencies/Urgent Situations:

Ana Juneja may or may not be able to assist with emergency or urgent situations that are outside the agreed-upon scope of representation. Typically, a new or amended agreement will be required. 

Even when an emergency or urgent situation is within the scope of representation, Ana Juneja  cannot commit to being able to assist with it when he is not notified at least seven (7) days in  advance, especially if you knew about it earlier. Ana Juneja will only assist with situations that arise during designated vacation periods at her sole discretion. Make sure you notify Ana Juneja of any scheduled events or meetings that are relevant to your case as early as possible.  

Payments:

All clients must make all payments online through LawPay or Clio with a credit card or electronic check.

Receptionists:

The receptionists at the office, and the receptionists who answer the phone, do not work for Ana Juneja or Ana Law LLC directly. They cannot answer questions about  your case. In fact, discussing your case with them in detail is a bad idea, as any such discussions  may not be covered by attorney-client privilege.  

In unusual circumstances, the office receptionists don’t mind you leaving something with them. However, be aware that there are potential issues with privilege so documents should be emailed.

Since all payments must be made through LawPay or Clio, there is no need to come in  person to pay, and payment should not be made to the receptionists.  

Disclosure of Representation:

Subject to the attorney-client privilege, Firm may disclose to third parties and to the public that you are or have been represented by Firm. Firm may use your name, image, likeness, or logo in connection with our marketing and business development initiatives, and may provide a general description of the types of services rendered for your benefit, unless you specifically requests that such information remain confidential in writing via email to media@analaw.com
